Below are some of our team’s favorite tricks of the trade to using Sage Intacct more efficiently for restaurant groups. These tips will help you to save time, do more, and take your accounting to the next level:
Favorites Tab
Not every user will use all of Sage Intacct daily. Yes, some features will be used daily, but others will be used less often. There is no better way to speed up and streamline your workflows than using the favorites tab within Sage Intacct. Here, a user can bookmark their most commonly used tasks, allowing them to save time when accessing them, which will consequently cause them to be more productive. It also is a nice way to allow users to create their own workflows that work for them rather than be forced to follow the system.
Leverage Sage Intacct’s Color Coding
Does your group have multi-entities? Are you or your team constantly selecting the wrong entity only to have to go back and reselect the correct entity? If you answered yes to either of these questions, try using one of our favorite color-coding entities. While Sage does a great job of making multiple-entity accounting easy to work in, there is still the chance, with all those numbers floating around, to mix things up. Leveraging the color-coding feature of Sage Intacct will provide the clarity to ensure you and your team are working inside the correct entity.
Count on Smart Rules
Smart rules will allow finance teams to specify what data and criteria a transaction must have before proceeding through the workflow. Smart rules can prevent a transaction by either blocking it or prompting a warning notification for those transactions that do not follow the rule.
Setting up smart rules will have the finance team spot fraud or fix miscoded transactions before they impact the financials!
Setup Statistical Accounts to Track Non-Financial Data
Setting up statistical accounts such as average checks, number of guests, or employee headcount allows you to track key metrics. Once leveraged, you can perform sophisticated analysis in financial reports or on dashboards. This will save you countless hours of spreadsheet work to produce those KPIs!
Rely on Checklists to Provide Visibility into your Month-End Close
Monthly closes can be complicated, forcing financial teams to complete tasks on a schedule or in a certain order. Did you know Sage Intacct offers user-defined checklists that you can use to manage and track the progress of your tasks and those of your colleagues? When you assign a task to a colleague, Sage Intacct will email that person. The email will include the task assignment along with the due date.
Shortcut Keys
Shortcut keys are nothing but keyboard key combinations. But something so simple can save a user so much time, especially when multitasking! Use shortcut keys to help speed up data entry. Here are some of our favorites:
